Special Instructions
Please read the special instructions before submitting your bid.

1. Bidders are advised to review all the special instructions and specifications carefully and thoroughly.

2. Bid may be disqualified if incomplete.

3. Purchase Orders will be issued by the Research Corporation of the University of Hawaii (RCUH).

4. Quotes must be valid for 60 days after the bid closing date. This must be indicated in your proposal.

5. Vendor must be able to provide order in aggregate as outlined in the RFQ.

6. Vendor must submit a quote that shows a breakdown of specs for each item as identified in this RFQ.

7. Quotes must include all applicable handling fees, shipping, and applicable fees and taxes (tax rate not to exceed 4.7120% for Maui County).

8. If a bid is submitted based upon a substituted product, please provide detailed specifications. We reserve the right to determine equivalency.

9. Buyer’s acceptance of offer is conditional upon Seller’s acceptance of Buyer’s terms and conditions. See attached RCUH Terms and Conditions, Attachment 31 and 32a.

10. Awarded vendor must provide a current signed W-9 if requested.

11. Awarded vendor must have a valid State of Hawaii Tax Clearance (Certificate of Vendor Compliance). Applicable to purchases and final payments over $25,000 or above. For more information, please refer to http://vendors.ehawaii.gov/hce/spach/welcome.html for more details.

12. Quantities are subject to change based on funding availability.

13. Applicable terms and conditions must be submitted with the bid.

14. Preferred payment terms are net 30.

16. Assembly and Installation Services.

Vendor shall provide complete on-site assembly and installation of all tables and chairs.
Assembly shall include unpacking, assembly of all components, installation of casters and hardware, placement in the designated room(s), removal and disposal of all packing materials, and inspection to ensure all furniture is fully assembled, stable, and ready for use.
Vendor shall include all labor, tools, equipment, travel, and incidental costs necessary to complete assembly and installation.

17. Delivery and assembly of all items must be done by 9/30/26.
