Project Description:
INTENDED USE:
Building and Grounds maintenance, light commercial and facilities operations, material handling, and towing of small trailer.
1. VEHICLE REQUIREMENTS:
a. Light-duty, Internal Combustion Engine (ICE), full-size pickup truck
b. Model Year: 2026 (Manufacturer production year 2026)
c. Base-level commercial fleet trim
d. Crew Cab Configuration
e. 4×4 Drivetrain
f. Preferred Exterior color: White
g. Nominal cargo bed length, as configured, shall be approximately 6 feet 4 inches to 6 feet 7 inches, with inside floor length generally within 75 to 80 inches, excluding tailgate. Short-bed configurations of approximately 5.5 feet and long-bed configurations of approximately 8 feet are not acceptable for this procurement.

2. PAYLOAD:
a. Minimum manufacturer-rated payload, as configured, shall be not less than 2,000 lb.
b. Upon Request: Bidder shall provide manufacturer documentation or the vehicle payload label verifying the payload rating for the vehicle offered.

3. LIFT GATE CAPABILITY:
a. Vehicle shall be compatible with installation of a powered rear lift gate designed for use on a full-size pickup truck.
b. Powered lift gate shall be installed by the owner and is not to be included in the bidder’s scope of work and pricing.

4. TOWING CAPABILITIES:
a. Vehicle shall be equipped with a manufacturer-installed towing package suitable for light-duty towing, including a trailer brake controller.
b. Minimum manufacturer-rated towing capacity shall be not less than 5,000 lb.
c. Upon request: Bidder shall provide manufacturer documentation verifying the towing capacity and inclusion of the towing package for the vehicle offered.

5. WARRANTY & SERVICE
a. Service:
i. Service shall be available through an authorized manufacturer dealership located on the island of Maui, State of Hawaii.
b. Minimum Warranty:
i. Warranty shall be provided through the vehicle manufacturer.
ii. Basic (Bumper-to-Bumper): minimum 3 years / 36,000 miles.
iii. Powertrain (engine, transmission, drivetrain): minimum 5 years / 60,000 miles.

6. UPON REQUEST, BIDDER MUST PROVIDE THE DETAILS REQUESTED BELOW:
a. Manufacturer (Make)
b. Model
c. Model Year
d. Trim Level (manufacturer designation)
e. Exterior Color
f. Manufacturer or installer documentation confirming lift gate compatibility for the vehicle offered.
g. Manufacturer documentation verifying payload and towing capacity for the vehicle offered.

Special Instructions
1. All vendors are advised to review all of the Special Instructions and specifications carefully and thoroughly. The submittal of a quote shall be considered as acceptance of the specifications as published, as well as agreement to the University of Hawaii Terms and Conditions, Applicable to All Purchase Orders. (Attachment #2).

2. Hawaii Compliance Express: Quotes of $2,500 or more will require a Certificate of Vendor Compliance in compliant status before purchase order is issued (HRS 103D-310(c) as the University of Hawaii must verify compliance with all laws governing entities doing business in the State of Hawaii. If a vendor does not have a compliant certificate, the vendor\'s quote will be disqualified, and the next lowest quote will be considered. 3. Questions shall be submitted to Robert Burton, UHMC Procurement Specialist, by email at reburton@hawaii.edu by May 14, 2026 at 12:00 p.m.

4. Quote shall be valid for a minimum of 90 days after the Request for Quotation closing date.

5. Award will be in aggregate and subject to availability of funds. The award of contract, if awarded, shall be made to the lowest responsive and responsible bidder on the Total Price. The University of Hawaii reserves the right cancel the Request For Quotation due to funding.

6. Price shall be F.O.B. Destination, including all applicable charges, transportation costs, shipping, insurance premiums, rental costs and taxes to:

7. Tax Liability: Both out-of-state and Hawaii bidders are advised the amount bid on this Request for Quotation is subject to General Excise Tax (GET) imposed by Chapter 237, Hawaii Revised Statutes (HRS). Maximum Tax Rate for Maui County is 4.712%. Tax shall be considered included in your total cost quoted.

8. Delivery is required within 365 days after receipt of order (ARO) Do not make any purchases until the approved purchase order is provided.

9. Damages incurred during shipment, assembly and/or delivery of goods/products will be the responsibility of the vendor.

10. Upon request, the following documents shall be provided to the University:

(a) Manufacturer literature/brochure with technical data & illustrations
of the equipment being offered.
(b) Warranty information for the proposed unit.
(c) Itemized quote.
