Special Instructions
The University of Hawaii at Hilo is seeking replacement condenser coils for its TRANE
Chiller no. 2, located at College Hall Buildings A & B (Building Nos. 345A & 345B).
1. Replacement parts specified must be received no later than sixty (60) consecutive
calendar days from the purchase order date.
2. The replacement parts shall be new, and must be compatible with the existing TRANE
Chiller System at College Hall Buildings A & B (345A & 345B). Vendor shall provide
standard
manufacturer\\\\\\\'s warranty for replacement parts.
3. Offers of equivalent substitute parts that are compatible with the existing TRANE
chiller system shall be considered. A quote which includes a proposed substitution shall
be considered only if the substitution has been approved in advance by the University.
Any
brand or manufacture of equal or better quality and performance to that specified will be
considered for acceptance by the University upon submission of a written request with
manufacturer\\\\\\\'s technical specifications of the proposed item being offered.
All Requests for Substitutions or inquires shall be emailed to the requisitioner at
hamane@hawaii.edu no later than 2:00 p.m., Wednesday, May 6, 2026. The University may, at
its discretion, reject or deny any submittal containing insufficient information or any
substitution that it deems unequal or incompatible and the findings in this regard shall
be
accepted by the vendor as final and binding.
4. To be eligible for award, vendor must be compliant with the Internal Revenue Service,
State of Hawaii Department of Labor, State of Hawaii Department of Commerce and Consumer
Affairs, and the State of Hawaii Department of Taxation prior to award. The Hawaii
Compliance Express (HCE), Certificate of Vendor Compliance shall be utilized to confirm
vendor\\\\\\\'s compliance with all agencies. Information regarding Hawaii Compliance Express is
available at: http://vendors.ehawaii.gov/hce/splash/welcome.html.
The above certification should be applied for by the Vendor in a timely manner. The
University will inform the successful Vendor in writing as to the exact date and time that
the above certifications are due to the University. If the successful Vendor does not
submit the certification by the date and time specified in the University\\\\\\\'s written
notification, the successful Vendor\\\\\\\'s quote shall be rejected. Thereafter, the University
reserves the right to consider other offers received for award.
5. Vendors are advised that any of the following may be grounds for disqualification:
a. Taking exception to any of the specified terms or conditions contained in the RFQ.
b. Placing conditions on the furnishing of solicited goods or services.
c. Inclusion or referencing external documents containing additional specifications,
terms or conditions.
d. Failure to follow RFQ instructions.
