BIDDING INSTRUCTIONS
Vendors may bid on any one or all items, as award may be split to multiple vendors as needed to complete order at lowest price. For each item, please provide cost that includes any shipping/freight fees, and all applicable taxes. Specification Sheets shall be attached to quotes.

** Quotes shall be for new models only. Do not provide quotes for refurbished models. **

SUBSTITUTION REQUESTS
Substitutions are subject to prior approval. Specification Sheet of substitutes must be submitted to lna4@hawaii.edu by noon PST on 01/16/2026 or it will not be considered. We reserve the right to determine equivalency. Approved substitutes will be posted in an addendum by 3pm PST on 01/21/2026.

Receiving Hours: M-F 7:30am-11:30am AND 12:30pm-3:00pm

DELIVERY REQUIREMENT
Delivery 1-12 weeks upon receiving Purchase Order. Partial deliveries will be accepted, with full delivery completed by the end of the 12 week period. Deliveries are to be scheduled with the Maintenance Warehouse, (808)956-8325.

OTHER
Please note, for purchases exceeding $2,500, the University of Hawaii is required to comply with Hawaii Revised Statutes Chapter 103D, Hawaii Public Procurement Code. Specifically, under this code, the University must verify compliance with all laws governing entities doing business in the State.
