Special Instructions
*Any job site evaluation shall be by appointment only and completed by 3:00 pm on August 13, 2025. Contact Bill Johnson at (808)440-9022 to schedule an appointment.

*Bids MUST BE ALL-INCLUSIVE, including but not limited to all costs for materials, taxes, fees, shipping, handling, and delivery.

*Quotes shall be valid for 90 days from the close date of this RFQ.

*Should the bidder require any of the followings, their bid may be disqualified.
(A) Taking exception to any of the specifications, terms and conditions contained in the RFQ;
(B) Placing conditions on the furnishing of the items offered;
(C) Inclusion of a quotation or order form containing additional specifications, terms and conditions:
(D) Referencing external documents containing additional specifications, terms and conditions;
(E) The University reserves the rights on any possible exemptions to be based on technical merits of pre-existing conditions.

*Under section 103D-310 (c), Hawaii Revised Statutes, all offerors, upon award of contract, must ensure compliance with all laws governing entities doing business in the State of Hawaii. Offerors will be expected to provide their “Certificate of Vendor Compliance” identifying their status as “COMPLIANT” on Hawaii Compliance Express: hppt://vendor.ehawaii.gov, once contract is awarded.

*Vendors must provide a copy of their Certificate of Insurance with the appropriate coverage(s) at the time award is made as well as fill in and sign the Caterer/Vendor/Exhibitor/Third Party Entity Agreement. (see attached)

*Vendors must agree to the University of Hawaii Terms and Conditions for purchase orders as part of this bid (Attached); failure to agree and/or provide separate terms and conditions may warrant disqualification.

Scope of work
Remove existing air conditioning unit and Install (1) 24,000 BTU single zone ductless split outdoor and indoor air conditioning unit (208V/230V) (1) 30,000 BTU single zone ductless split outdoor and indoor air conditioning unit (208V/230V)

Included with install
Parts; Materials; Labor; Removal and disposal of existing A/C units per EPA regulation; Refrigerant piping will be replaced if needed. Otherwise refrigerant lines will be flushed with solvent to prevent any contamination entering new system
