Project Description: (4) A Stand-Alone Modular Meeting Room/Pod/Booth with three walls and a ceiling, with a lockable door that will serve as a semi-private meeting space. The Room/Pod/Booth will be located in the Library and Veteran Center (i.e., the Learning Resource Center and Welding Building) at Kauai Community College.

Must include the following minimum specifications and features:

Exterior dimensions at minimum H 7 feet 8 inches x W 7 feet 7 inches x D 3 feet 11 inches
Interior dimensions at minimum: H 7 feet 3 inches x W 7 feet x D 3 feet 5 inches

Minimum features include:
1. Three walls, and a lockable entry door.
2. Ceiling with recessed lights, with light controls included - location of ventilation.
3. At minimum 4 people capacity.
4. A motion sensor of occupancy.
5. At minimum two 2-seater benches or 4 chairs facing a table that is mounted to the back wall.
6. Built-in monitor frame (maximum size of 30 inches) and built-in camera frame.
7. Built-in power box that holds cables and assists with charging devices.
8. Plug located in the back of the room must be a 120V standard plug and at least a 5-foot cord.
9. Silent ventilation fans in ceiling and air inlets behind benches.
10. Central roof panel with wooden panel (ash/maple finish preferred) cover over recessed lights and fans.
11. 33dB minimum noise control.

Color and fabric finish preferences:
1. Walls, floor, ceiling, bench frame, and central roof control panel: neutral light color tones from white, silver, grey, to beige.
2. Bench/chair cushion and tabletop color preferences: navy, darker blue tones and patterns.
3. Bench/chair cushion fabric must be easy to clean.

Special Instructions
1. In accordance with Hawaii Revised Statutes 103-53, vendors must provide a valid tax clearance from the Hawaii Department of Taxation and the U.S. Internal Revenue Service, as a prerequisite to entering into any contract, agreement, or purchase order of $25,000 or more, and prior to releasing a final payment for such purchases. A Certificate of Vendor Compliance that reflects a status from Hawaii Compliance Express (HCE), is acceptable in satisfying the tax clearance requirement. 2. Please submit any questions to Alohilani Chun (ahchun@hawaii.edu) no later than Thursday, April 10, 2025. Responses will be provided no later than Tuesday, April 15, 2025.

3. No substitutions will be accepted, please review furniture specifications carefully.

4. The quoted price must be valid for 90 days after the closing date of the RFQ. All quotes must include drawings and brochures, that define the detailed required or preferred features and furniture of the RFQ. Failure to provide these forms of documentation may result in the disqualification of your bid.

5. Bids must be all-inclusive including but not limited to all costs for materials, taxes, fees, shipping, handling, delivery, and assembly and removal of packaging materials.

6. Delivery and assembly of goods MUST BE RECEIVED on campus NO LATER THAN 8 weeks A.R.O (After Receipt of Order). Two modular meeting rooms will be assembled on the first floor of the library. The other two modular meeting rooms will be assembled in the Veteran Center located in the Welding Classroom. Campus staff will coordinate with the awarded vendor regarding delivery and assembly details.

7. Vendors must return the signed award within two (2) working days of award notification, or the bid will be voided.

8. Any award(s) is/are subject to funding availability.

9. The vendor must ensure that the furniture installation is performed by professional office furniture installers, using the best standard practices. Awarded furniture vendor shall protect the existing facilities and correct and/or repair any defects/damages by their operation at no cost to the University.

10. The vendor is responsible for the disposal of all packing materials and cardboard off campus property. The use of Kauai Community College dumpsters or trash receptacles is prohibited. Work shall be scheduled from 8:00 a.m. to 4:30 p.m., Monday through Friday.

11. All bids are subject to the Research Corporation of the University of Hawaii, Attachment A - General Terms and Conditions Applicable to All Purchase Orders and Attachment B - Terms and Conditions Applicable to Contracts and Purchase Orders under Federal Grants. Both are attached for reference.

12. The vendor accepting the award must provide a Certificate of Insurance. Please refer to Attachment C, which includes the insurance requirements for the Research Corporation of the University of Hawaii for your reference.
